Hodnett Cooper Vacation Rental PoliciesReservations: A valid credit card is required for all reservations. For payment, we accept cash, personal check, American Express, MasterCard, Visa, and Discover. There will be a $30 surcharge on all returned checks. Deposits, Payments, & Cancellations: Daily & Weekly Reservations: A deposit of 50% of the base rental amount, not including taxes and fees, is required to secure a reservation. The remaining balance owed will be collected 60-days prior to arrival. Reservations made within 60-days of arrival date require payment in full at time of booking. Deposits will be refunded, less a cancellation fee equal to 10% of the base rental amount, when notice is given more than 60-days prior to arrival. Should cancellation occur within 60-days of arrival, all deposit monies paid to date will be forfeited. Monthly Reservations: An initial payment of $100 is required to secure a reservation. A deposit of 50% of the first month’s rent, not including taxes and fees, will be collected 90-days prior to arrival. The remaining balance for the first month’s rent, and any partial month owed, is due 30-days prior to arrival. Rent owed for subsequent months is due at the beginning of each month thereafter. If a reservation is made within 30-days of the arrival date, a full month’s rent, and any partial month’s rent owed, is due at time of booking. If cancellation is made prior to the 90-day deposit, the $100 initial payment will be refunded. If cancellation is made after the 90-day deposit all monies paid to date will be forfeited. To protect your vacation investment, and to avoid the loss of deposits paid in the event of cancellation within the guidelines outlined by CSA Insurance, Hodnett Cooper strongly recommends the purchase of Travel Interruption Insurance. Travel Interruption Insurance: The cost of Travel Interruption Insurance, which is 6.5% of the base rental amount including sales tax, is automatically added to all reservations made after March 1st, 2008. Should you wish to decline coverage, you have the option to do so at the time of reservation. If purchased, you have a 10-day “free look” that allows for a full refund of the insurance premium paid. 10-days after purchase the travel insurance premium is non-refundable. Additionally, premiums are non-refundable after you depart for your trip, even if within the 10-day “free look” period. Travel Interruption Insurance may be purchased any time up to final payment of deposits. CSA Travel Protection reimburses for pre-paid non-refundable expenses, due to certain unforeseeable circumstances that may cause you to cancel, interrupt, or delay your trip. The most common reasons include family death, illness or Mandatory Hurricane Evacuation. A comprehensive CSA brochure is available by request, or can be downloaded by clicking here. Refunds: No refunds are granted for early departure, inclement weather, eviction, mechanical malfunction, or interruption of utilities. We will make every effort to ensure necessary repairs are completed in a timely manner. Reservation Surcharge: A surcharge is applied to every reservation, which includes housekeeping charges and the damage waiver fee. Each residence will be cleaned before arrival and upon departure. Additional cleaning can be scheduled for an extra charge. The damage waiver fee covers unintentional damages of up to $3000 per stay. Unintentional damage must be reported by the guest before departure to be covered by the damage waiver. If an accident is not reported, repairs will be made at the guest's expense. Damage caused by pets is not covered. Taxes: State sales tax (7%) and county hotel-motel tax (5%) is collected on the first 10 nights of all stays. State sales tax only is collected on the 11th-90th nights of all stays. Tax requirements are subject to change by state and local taxing authorities. What to Expect: All Residences Are Furnished With: Starter Supply of Toilet Paper Other notable amenities, such as DVD players, sleeper sofas, and grills are included in property descriptions when applicable. Suggested Items To Bring Along: Beach Chairs & Beach/Pool Towels Behavior: Loud or unruly behavior is strictly prohibited. Management reserves the right to evict, without refund, any person who creates a disturbance or becomes a nuisance. Age: One individual in each party must be at least 25 years of age and occupy the property during the entire reservation period. Check-In & Check-Out: Check-in time is 4:00 pm. Check out is 10:00 am. Pet Policy: Residences do not accept pets, unless noted. Properties designated as pet friendly require a $125 non-refundable pet fee. Size, type, and quantity restrictions may apply. Violation of the pet policy may result in eviction and forfeiture of rent. Smoking: Unless otherwise noted, all residences are designated non-smoking. Smoking inside a non-smoking residence will result in a minimum charge of $250 for additional cleaning. Occupancy: The occupancy limitation for each residence is designated in the property description. In addition, Hodnett Cooper prohibits more than 5 (five) unrelated people from occupying a residential property. Management reserves the right of eviction, without refund, for unauthorized occupancy. Telephone: All residences (unless otherwise noted) have telephone service. There is no surcharge for local calls. Long-distance calls require a calling card or credit card. Substitution: Management strives to comply with all reservation requests for specific residences. However, due to changes in residence ownership, properties being removed from rental unforeseen mechanical malfunctions, or other unforeseen circumstances, we cannot guarantee a specific rental property. We reserve the right to change assignments without notice or liability. Guests will have the option of selecting from available properties at the published rate or receiving a complete refund of their reservation deposit. Rates: All rates are subject to change without notice. Interest Bearing Account: Guest is hereby notified that all monies collected are placed into an interest bearing account in which the interest shall accrue to the benefit of Hodnett Cooper Real Estate, Inc. Innkeeper Law: Hodnett Cooper Vacation Rentals, Inc. operates under Title 43 of Georgia Code as an innkeeper. Properties for Sale: Occasionally, vacation residences are listed for sale. We will make every effort to schedule showings so as not to interrupt your vacation. Parking: Parking is limited. Allotment is decided on a first-come, first-served basis. If a community requires a parking permit, one will be included in the check-in packet. Many properties have restrictions for vans, trucks, campers, boat trailers, etc. For additional details, please contact us. Grills: Outdoor grilling is permitted only in designated areas. Grilling on decks, balconies, or screened porches is prohibited by law. Please use caution when grilling. Pools & Hot Tubs: Lifeguards are not provided. Guests are responsible for the safety of themselves, their children, and their guests. Pool and Hot Tub facilities are for the use of registered guests and property owners only. If identification tags are required for community pools, they will be included in the check-in packet. Diaper age children are required to wear swim diapers when using swimming pools. No discounts or refunds will be issued for pool or hot-tub malfunctions or closures. Utilities: Rental rates are inclusive of all utilities including, electricity and/or gas, local telephone service (unless otherwise noted), basic cable television, water, sewer, and waste disposal. Any additional services, such as Internet, will be noted in the property description. As previously stated, interruption of utilities does not warrant refunds. However, management will make every effort to resolve such interruptions in a timely manner. Stays greater than 30-days in length, are subject to an excess utilities surcharge when utilities are significantly higher than average due to their occupancy. Beach Rules: Glynn County Code of Ordinances sets the following regulations for beach usage: 1) no glass containers, 2) no motorized vehicles, 3) no littering. Animals are prohibited on the beach from 9:00am to 6:00pm, Memorial Day through Labor Day, between the Pier and the Coast Guard Station. Animal owners are required to clean up after their animals on the beach at all times. Right of First Refusal: We offer the right of first refusal to our current monthly guests for future year accommodations. If you would like to reserve your current accommodations for the same time period next year, please notify us within two weeks of checking-in. Otherwise, we will make the residence available to other guests. Sea Gate Inn Rental PoliciesAll Sea Gate Inn reservations are subject to the Hodnett Cooper Vacation Rental Policies listed above, with the exception of the payment schedule outlined below. Additionally, there is no reservation surcharge for the Sea Gate Inn. Rates include daily housekeeping services for nightly and weekly reservations, and weekly housekeeping services for monthly reservations. Sea Gate Inn Deposits, Payments, & Cancellations: Daily & Weekly Reservations: A non-refundable deposit equal to the amount of one night’s stay, not including taxes and fees, is required to secure a reservation.
